Find a stored document, review its title, category, connected records and visibility, open the file and download a copy where appropriate.
Viewing a document inside Estavo allows you to inspect the stored file without creating another local copy. Download the file only where you need to retain, review or provide a copy outside the system.

Open the document inside the available viewer to inspect its contents.
Download
Save a copy to the current device where a local file is required.
Share
Use Estavo’s sharing workflow to provide the document to an authorised recipient.
Use the document viewer where possible to avoid creating unnecessary copies on personal or shared devices.
Before opening or downloading a document
- Confirm you are viewing the correct property.
- Check the document title and category.
- Review the document date and version.
- Confirm the correct tenancy or tenant connection.
- Check whether the file is current or archived.
- Review whether it contains sensitive information.
- Use an appropriate and secure device.
- Avoid downloading to a public or shared computer.
- Confirm you are authorised to access the file.
Find the document
Open Documents
Select Documents from the main Estavo navigation.
Use the search field
Search using the document title, property, tenancy, tenant or reference.
Apply document filters
Filter by category, date, status, visibility or connected property.
Select the document
Open the document-details page before viewing or downloading it.
Review the document details

- Confirm the document title.
- Review the category.
- Check the property connection.
- Review the tenancy or tenant connection.
- Check the document and expiry dates.
- Review the current or previous-version status.
- Check the visibility and sharing history.
Open the stored file
Select View Document
Open the file in the available Estavo or browser document viewer.
Wait for the document to load
Larger files may take longer depending on the internet connection and file size.
Review every page
Use page controls, scrolling or image navigation to inspect the complete file.
Close the viewer when complete
Return to the document record to review its details or perform another action.
Review the document contents
Readable
Check that text, dates, signatures and important details can be read.
Complete
Confirm that every required page, side or image is included.
Correct property
Review the address, reference and connected property.
Correct version
Check whether the file is current, signed, renewed or superseded.
Estavo displays the stored file but does not independently confirm its authenticity, accuracy, legal validity or suitability.
Download the document
Confirm the correct file
Review the title, property, date and version before downloading.
Select Download
Use the download action on the document-details page or viewer.
Choose the save location where prompted
Select an appropriate secure folder on the current device.
Wait for the download to complete
Do not close the browser before the file has finished downloading.
Open and verify the copy
Confirm the downloaded file is complete and can be viewed.
Find the downloaded document
The file is normally saved to the download location configured in your browser or device.
- Check the browser’s download panel.
- Open the device’s Downloads folder.
- Search using the document file name.
- Check whether the browser renamed a duplicate copy.
- Move the file to an approved secure folder if needed.
- Delete unnecessary duplicate copies.
Handle downloaded copies securely
- Store files only on authorised devices.
- Avoid public or shared computers.
- Use an approved secure folder or document location.
- Do not leave files open unnecessarily.
- Check automatic cloud-sync settings.
- Do not forward documents without reviewing the recipient.
- Delete temporary copies when no longer required.
- Clear the device’s recycle bin where appropriate.
- Follow your document-retention and data-protection process.
Once saved to a device, the file is outside Estavo’s document visibility controls. Protect, share and remove the local copy appropriately.
Review tenant access before or after downloading
The stored document remains private or tenant-visible according to its existing access setting.
Handle an incorrect or outdated document
Wrong property
Correct the property or record connection before relying on or sharing the file.
Outdated version
Open the current version or replace and archive the old document.
Unreadable file
Upload or request a clearer and complete copy.
Incorrect visibility
Change the file to private and review its tenant connection.
Review document access and sharing history
Where available, the document activity area can show uploads, edits, sharing actions and other recorded access events.
- Review when the document was uploaded.
- Check who changed its details.
- Review portal visibility changes.
- Check direct sharing actions.
- Review replacement and archive activity.
- Confirm the current document version.
The system history may record the download action where supported, but it cannot track every later use of the local copy.
Common viewing and download problems
The View option is unavailable
Check your permissions and confirm the file finished uploading successfully.
The document viewer is blank
Refresh the page, check the browser and confirm the stored file can be opened.
The file downloads but will not open
Confirm the file type is supported and that the original upload is valid.
The download does not start
Check browser download permissions, pop-up controls and the internet connection.
The downloaded file cannot be found
Check the browser download panel and the device’s configured Downloads folder.
The wrong version downloaded
Return to the document record and select the current version explicitly.
The document is missing from the list
Clear filters and check archived documents, previous versions and the correct property.
The tenant cannot download the document
Review the portal visibility, tenant connection and tenant account access.
The document has been viewed or downloaded
