Add and edit a property
Create a new property record, maintain its core information and update property details as your portfolio changes.
Every property in Estavo has its own central record. This record connects the property with tenants, tenancies, compliance, documents, maintenance, financial information, communication and notes.
Create a property record
Open the Properties section
From the Estavo navigation, select Properties to open your portfolio list.
Select Add Property
Use the add button shown above or alongside the property list.
Search for the address
Enter the property postcode and select the correct address from the available results.
Use manual address entry where the property cannot be found.
Complete the property information
Add the property type, bedroom count, ownership information and any required portfolio details.
Save the property
Review the details and select Save or Create Property.
Complete the address details
The address should identify the exact property or unit. It may be used throughout tenancy records, documents and reports.
Search the property list by postcode before adding a new record. Flats and units within the same building should each have their own complete address.
Maintain the main property information
Property type
Select the most appropriate type, such as house, flat, bungalow, maisonette or HMO.
Bedrooms and bathrooms
Record the number of bedrooms and bathrooms available at the property.
Property reference
Add an internal reference to make the property easier to identify in lists and reports.
Property status
Use the appropriate status, such as active, vacant, occupied, inactive or archived.
Edit an existing property
Find the property
Open the property list and search by address, postcode or property reference.
Open the property record
Select the property to view its overview and related sections.
Select Edit
Open the property edit form or the relevant property details tab.
Update the information
Amend the required fields and review any related records that may also need updating.
Save your changes
Confirm the amendments and save the property record.
Correcting a typing error is different from changing the property to a completely different address. Avoid overwriting an established property record with information belonging to another property.
Update the property status
Property status can affect dashboard totals, filters and portfolio reporting.
Active
Use for a property currently managed as part of your active portfolio.
Vacant
Use where the property is available or temporarily has no active tenancy.
Occupied
Use where the property currently has an active tenancy or occupants.
Archived or inactive
Use where the property should no longer appear in normal active portfolio views.
Removing a property from your portfolio
A property with tenancy, financial, compliance or document history should normally be archived rather than permanently deleted.
Check all linked tenancies, tenants, documents, maintenance, compliance and financial records before attempting to delete a property.
Common property record problems
The address cannot be found
Check the postcode or use manual address entry where available.
The property already exists
Search the property list using the postcode before creating another record.
Changes are not showing
Confirm the form was saved, then refresh the property page.
A field cannot be edited
The field may be restricted because related records already exist. Contact support where necessary.
The property is missing from the dashboard
Check whether the property is marked inactive or archived.
The wrong property was created
Avoid adding further records. Correct or remove the property before creating tenants or tenancies.
Your property record is ready
The next step is to upload and organise the documents connected with the property.
