Manage compliance reminders

Review upcoming compliance dates, manage diary items and close reminders when a certificate has been renewed or the required action has been completed.

Compliance reminders help you prepare for certificate, inspection and licence renewals before the recorded expiry date. A reminder does not complete the renewal itself; it highlights the action that still needs to be arranged and recorded.

How compliance reminders work

A compliance reminder can be created from an expiry date, renewal date or manually entered diary item. It should identify the property, compliance type, due date and action required.

Reminders depend on accurate dates

Check the underlying compliance record whenever a reminder appears unexpectedly early, late or against the wrong property.

Understand reminder statuses

The reminder date is in the future and the action can be planned in advance.

Due

The reminder date has been reached and the action should be reviewed.

Overdue

The due date has passed and the reminder has not been completed.

Completed

The reminder has been closed after the relevant action was completed or reviewed.

Open the compliance reminders

Open the Dashboard or Diary

Select the diary, reminders or dashboard area showing upcoming compliance activity.

Filter by Compliance

Use the category or reminder-type filter where available.

Review upcoming and overdue items

Sort by due date so the most urgent reminders appear first.

Open the connected property record

Select the reminder to review the related compliance item and certificate.

Review a compliance reminder

Property Confirm the reminder belongs to the correct property.
Compliance type Review the certificate, inspection or licence requiring action.
Reminder date The date the action is intended to appear in the diary.
Expiry date The final recorded date for the current certificate or licence.
Reminder notes Review any instructions, contractor details or planned action.
Current status Upcoming, due, overdue or completed.

Create a compliance reminder

Open the compliance record

Find the relevant property and compliance item.

Select Add Reminder

Open the diary or reminder creation form where available.

Enter the reminder date

Choose a date early enough to arrange the relevant inspection, renewal or follow-up.

Add a clear title and notes

Include the property, compliance type and action required.

Save the reminder

Confirm it appears in the diary with the correct due date.

The reminder date is not the expiry date

The reminder should normally occur before the certificate expires, allowing sufficient time for the necessary action.

Edit a compliance reminder

Open the diary item

Select the reminder from the diary, dashboard or compliance record.

Select Edit

Review the existing date, title and notes.

Update the information

Change the reminder date or notes where the renewal appointment or action has changed.

Save and review

Confirm the updated reminder appears on the correct date.

Complete a compliance reminder

  • Open the reminder.
  • Review the action it relates to.
  • Confirm the appointment, inspection or renewal was completed.
  • Upload the replacement certificate where available.
  • Add the new issue and expiry dates.
  • Confirm the property compliance status has updated.
  • Select Complete or Close Reminder.
  • Create the next reminder where required.
Complete the record before closing the reminder

A reminder may be closed manually, but the property can still appear expired or incomplete if the new certificate and dates have not been added.

Review reminders after a compliance renewal

Complete the old reminder

Close the reminder linked to the previous certificate or expiry date.

Check the new expiry date

Confirm the replacement certificate contains the correct future expiry date.

Create the next renewal reminder

Add the next planning date where it is not created automatically.

Review property status

Confirm the property no longer appears as expired or requiring the completed action.

Review overdue reminders

  • Filter the diary by overdue items.
  • Review the property and compliance type.
  • Check the underlying expiry date.
  • Confirm whether the renewal has already been completed.
  • Check whether the replacement certificate is missing.
  • Update the reminder where an appointment has been rearranged.
  • Complete the reminder after the record has been updated.
  • Review other overdue compliance items across the portfolio.

Correct an inaccurate reminder

Open the reminder

Confirm the property, compliance type and due date.

Open the compliance record

Check the issue, expiry and renewal dates.

Correct the source information

Update an incorrect compliance date rather than merely moving the reminder.

Edit or remove the reminder

Correct the diary item where it was created manually or duplicated.

Review the updated diary

Confirm the incorrect warning no longer appears.

Common compliance reminder problems

No reminder appears

Check that an expiry or renewal date has been saved and the relevant reminder setting is enabled.

The reminder appears too early

Review the manually entered reminder date and the configured warning period.

The reminder appears too late

Check whether the renewal date was entered after the certificate expiry date.

A completed reminder has returned

Review whether the old compliance record remains current or another reminder was created.

Two reminders appear for one certificate

Check for duplicate compliance records or a separate manually created diary item.

The property still shows expired

Upload the renewed certificate and update the compliance record before closing the reminder.
