Review property compliance status
Identify valid, expiring, expired and missing compliance records across individual properties and your wider portfolio.
The compliance status provides a summary of the records saved against a property. It helps identify items requiring review, but the status is only as accurate as the dates, documents and record information entered into Estavo.
How property compliance status works
Estavo reviews the information recorded against each compliance item and groups it into an appropriate status. The property-level status may reflect the most urgent item requiring attention.

All propertiesEstavo helps surface records requiring attention. It does not independently confirm that a property meets every legal or regulatory requirement.
Understand each compliance status
Valid
The record is complete and its recorded expiry date has not been reached.
Expiring soon
The record is still current, but its expiry date is approaching.
Expired
The expiry date has passed and the item requires review or renewal.
Missing
A certificate, date or other key part of the record has not been added.
Open the compliance overview
Open Compliance
Select Compliance from the main Estavo navigation.
Review the summary
Check the number of valid, expiring, expired and missing records.
Open the record list
Review the properties, compliance types, expiry dates and displayed statuses.
Apply filters where required
Narrow the list by property, status, compliance type or expiry period.
Review the compliance status of one property
Open the property
Find the property from the Properties list or compliance overview.
Select Compliance
Open the property’s compliance section.
Review each compliance type
Check the current certificate, expiry date, status and supporting document.
Open items requiring attention
Review any expiring, expired or missing record and confirm what information needs updating.
Review compliance across all properties
- Open the main Compliance section.
- Review the total number of records by status.
- Sort records by nearest expiry date.
- Review expired items first.
- Check properties with missing records.
- Review items expiring within the next period.
- Confirm recently renewed records now appear as current.
- Open individual records to verify their documents.
- Review diary entries connected to upcoming renewals.
Filter the compliance list
A filtered view may hide other records requiring attention. Clear the filters before completing the wider portfolio review.
Review expired compliance records
- Filter the compliance list by Expired.
- Confirm the property and record type.
- Open the certificate and verify the expiry date.
- Check whether a replacement record already exists.
- Arrange the required renewal or inspection externally.
- Retain the expired record as historical evidence.
- Add the replacement certificate and new dates.
- Confirm the current property status updates afterward.
If a new certificate has been issued, create the renewal rather than changing the previous certificate’s correct expiry date.
Review missing compliance information
No record added
Create the relevant compliance record for the property where required.
No certificate uploaded
Attach the supporting certificate or report to the existing record.
Expiry date missing
Enter the date shown on the document where an expiry date applies.
Reference missing
Add the certificate, inspection or licence reference.
Correct an inaccurate compliance status
Open the compliance record
Confirm the property and record type.
Open the supporting certificate
Verify the issue date, expiry date, reference and result.
Edit incorrect information
Correct the dates, status or missing record details.
Check for duplicate current records
Confirm only the latest valid record is shown as current.
Save and review the property
Confirm the status summary now reflects the corrected information.
Use compliance reporting
Compliance reports can help organise records requiring attention and support regular portfolio reviews.
- Review records by current status.
- Identify certificates approaching expiry.
- Find expired records across the portfolio.
- Identify properties with missing information.
- Review compliance by certificate type.
- Check recent renewals and replacement documents.
- Export or download available reports where supported.
- Verify the underlying records before relying on a report.
Common compliance status problems
A valid record shows as expired
Check whether the issue date was entered as the expiry date.
A property remains non-compliant after renewal
Review the other compliance types and check whether another record remains missing or expired.
Two certificates show as current
Mark the earlier item as historical, replaced or expired while retaining it.
The status has not updated
Confirm the record saved successfully, refresh the page and review the current dates.
A missing record is not displayed
Confirm the relevant compliance type is expected for that property and is included in the property setup.
A filtered list appears incomplete
Clear all filters and review the complete compliance record list.
The compliance status has been reviewed
