Edit or remove a transaction

Correct inaccurate transaction details, undo an incorrect allocation, remove confirmed duplicates and review the effect on rent balances, expenses, statements and reports.

Edit a transaction when its recorded details are inaccurate. Unmatch it when the source transaction is valid but connected to the wrong property, rent period or category. Remove it only when the entry itself should not exist, such as a confirmed duplicate or mistaken manual record.

The transaction is valid but inaccurate

Use Edit to correct the date, description, reference, supplier, payer or other recorded details.

Unmatch

The transaction is connected incorrectly

Keep the source transaction but remove its incorrect rent allocation, property link or expense category.

Remove

The transaction should not exist

Use removal for a confirmed duplicate, failed import row or manual entry created by mistake.

Preserve genuine financial activity

Where money was genuinely received or paid, retain the source transaction and correct its details or allocation instead of deleting it.

Before editing or removing a transaction

  • Compare the transaction with the source bank or payment record.
  • Confirm the amount and transaction date.
  • Review the description and reference.
  • Check whether the entry was imported or entered manually.
  • Search for another transaction with the same details.
  • Review its property and tenancy connections.
  • Check rent, expense or maintenance allocations.
  • Review statements and reports containing the entry.
  • Confirm whether a refund or reversal is more appropriate.
  • Check whether another user is reviewing the same record.
Check the financial impact first

Changing or removing a transaction can alter rent arrears, property expenses, statements, performance figures and tax-period reports.

Select Financials from the main Estavo navigation.

Open the list containing manually recorded and imported financial transactions.

Apply search filters

Search using the date, amount, property, supplier, payer, description or reference.

Review its complete details and connected financial records.

Edit the transaction details

Open the transaction-editing form.

Compare with the source record

Confirm the correct date, amount, reference and description.

Correct the inaccurate fields

Update only the information that is genuinely incorrect.

Add a correction note

Record why the transaction was changed where the system provides a notes or audit field.

Save and review

Confirm the corrected transaction and connected reports now display properly.

Transaction date Correct the date only where it differs from the source transaction.
Description Improve or correct the transaction narrative.
Reference Correct the bank, invoice or payment reference.
Payer or supplier Correct the connected person or organisation.
Do not alter a genuine amount to match another record

The transaction amount should remain equal to the actual money received or paid. Correct allocations separately.

Change the property, tenancy or category

The source transaction can be valid while its property, tenancy or category connection is incorrect.

  • Open the transaction.
  • Review the current property connection.
  • Confirm the correct property using supporting records.
  • Review the tenancy where the transaction is rent.
  • Check the expense category for outgoing payments.
  • Review any connected maintenance request.
  • Remove the incorrect allocation where required.
  • Apply the correct property, tenancy or category.
  • Review all affected balances after saving.

Unmatch a transaction

Open the transaction

Review its current property, rent or expense allocation.

Select Unmatch or Remove Allocation

Remove the incorrect connection while retaining the source transaction.

Confirm the affected record

Check which rent period, expense or maintenance entry will be disconnected.

Confirm the action

Return the transaction to an unmatched or partially matched status.

Apply the correct match

Select the proper rent period, property expense or category.

Unmatching may change rent arrears

Removing a rent allocation can return the expected rent period to partial or unpaid status until the payment is matched correctly.

Remove a confirmed duplicate

Manual and imported duplicate

A payment was entered manually and later imported from the source file.

Repeated CSV import

The same transaction period or source file was imported more than once.

Duplicate expense workflow

A maintenance expense and manual expense were both created for the same invoice.

Genuine repeated amount

Two transactions with the same date and amount are not duplicates when both occurred independently.

Compare both records

Review the date, amount, reference, description and source.

Identify the record to retain

Prefer the entry containing the correct source, allocation and supporting information.

Review the duplicate’s connections

Check whether it is matched to rent, an expense or a maintenance request.

Remove its allocation if required

Ensure the transaction being retained carries the valid connection.

Select Remove or Delete

Confirm removal of the duplicate transaction.

Review totals

Check rent balances, expenses and reports after removing the duplicate.

Remove an invalid transaction entry

Remove a manual transaction where the financial movement never occurred and the entry was created in error.

  • Confirm there is no corresponding bank or payment record.
  • Check that the transaction is not a valid cash payment.
  • Review its property and tenancy connection.
  • Check whether it is allocated to rent.
  • Review attached documents.
  • Confirm no valid refund or reversal is linked to it.
  • Remove any incorrect allocation where required.
  • Select Remove and confirm the reason.
  • Review the resulting financial balances.

Use a refund or reversal instead of deletion

Where money was received or paid and later returned, reversed or refunded, retain the original transaction and record the later movement separately.

Returned rent payment

Retain the original receipt and add the returned or reversed payment.

Supplier refund

Keep the original expense and add the supplier refund or credit.

Tenant overpayment refund

Retain the amount received and record the outgoing refund separately.

Card or bank reversal

Record the reversing movement using its actual date and reference.

Retain both sides of the financial history

The original payment and later refund or reversal should remain visible so the complete movement can be understood.

Review the effect of the change

  • Check the transaction list.
  • Review rent arrears for affected tenancies.
  • Confirm property expenses.
  • Review maintenance costs.
  • Check property statements.
  • Review property-performance figures.
  • Check tax-period reports.
  • Confirm unmatched and partially matched balances.
  • Compare the updated totals with source records.
  • Regenerate reports where necessary.
Previously downloaded reports may be outdated

Generate a revised statement or report after correcting or removing a transaction.

Preserve a clear transaction history

  • Record why the transaction was edited.
  • Keep the date of the correction.
  • Retain the source document or transaction evidence.
  • Record why a duplicate was removed.
  • Keep refunds and reversals as separate movements.
  • Review the audit history where available.
  • Avoid placing sensitive or unnecessary information in correction notes.

Understand permissions and locked transactions

Insufficient permissions

Your account may allow viewing without editing or removal.

Transaction is allocated

The allocation may need to be removed before the transaction can be deleted.

Included in a completed process

A completed report, statement or related workflow may restrict direct changes.

Imported transaction restrictions

Imported entries may require correction through the transaction or import-review workflow.

Common transaction-correction problems

The Edit option is unavailable

Check account permissions and whether the transaction is locked by a connected workflow.

The Delete option is unavailable

Remove valid allocations first and review whether the transaction can be corrected instead.

The transaction still appears after removal

Refresh the list and check whether another duplicate entry remains.

Rent became overdue after editing

Review whether the rent allocation was removed or moved to another period.

An expense remains duplicated

Check for imported, manual and maintenance-generated versions of the expense.

The wrong transaction was removed

Review the audit history and source records, then recreate or restore the valid transaction where the system allows.

A report still shows the old amount

Refresh the report and generate a revised version after saving the correction.

The allocation cannot be removed

Check whether it is part of a split transaction, completed statement or restricted financial process.

The transaction has been corrected
