Prepare a tax report

Organise recorded rental income and property expenses for a selected tax period, review incomplete transactions and export the information for professional accounting or tax review.

Estavo’s tax report organises the financial information recorded in your account. It is not a tax return and does not determine whether an item is allowable, deductible, taxable, capital or revenue in nature.

How the tax report works

Estavo gathers recorded income and expenses connected to the selected properties and date range. The report groups the information using the categories held in the system.

Missing bank transactions, invoices, ownership adjustments or expenses held outside Estavo will not be included automatically.

Before preparing the tax report

  • Confirm the required tax or reporting period.
  • Review all properties held during the period.
  • Check rent payments and other property income.
  • Review imported bank transactions.
  • Check property expenses and categories.
  • Resolve confirmed duplicate transactions.
  • Review unmatched and partially matched entries.
  • Check supplier refunds and credit notes.
  • Review property purchases or disposals separately.
  • Confirm supporting invoices and receipts are available.
Do not rely on categories without review

Estavo categories help organise records but do not determine their correct accounting or tax treatment.

Check whether an earlier report exists for the same period.

Select the tax period

Period start date Select the first date to include in the report.
Period end date Select the final date to include.
Reporting basis Confirm the method and date basis required by your professional adviser.
Comparison period Add a previous period where the report supports comparison.
Use the period confirmed for your circumstances

Tax and accounting reporting periods can depend on ownership structure and individual circumstances. Confirm the required dates professionally.

Select the properties to include

  • Include properties held during the selected period.
  • Review properties purchased part-way through the period.
  • Review properties sold or transferred during the period.
  • Confirm archived properties are included where relevant.
  • Check property ownership records.
  • Review jointly owned or separately owned properties.
  • Exclude properties unrelated to the report.
  • Confirm portfolio-level expenses are handled correctly.

Review rental and property income

Rent received

Review rent transactions recorded during the selected period.

Other property income

Review separately categorised income connected to the properties.

Refunds and credits received

Check supplier refunds and other incoming adjustments.

Unallocated income

Review transactions not yet connected to a property or income category.

  • Check duplicate rent payments.
  • Review returned or reversed payments.
  • Confirm income is connected to the correct property.
  • Check transaction dates around the period boundaries.
  • Review whether deposits or other funds were incorrectly classified as rent.

Review property expenses

Repairs and maintenance Review contractor costs, parts, servicing and repair expenses.
Insurance Review insurance premiums connected to the properties.
Professional services Review legal, accounting, survey, inventory and management costs.
Property charges Review service charges, ground rent and other recorded property costs.
Utilities and services Review landlord-paid utilities, cleaning, gardening and communal costs.
Other expenses Review entries placed in general or custom categories.
Capital and revenue treatment requires professional review

Estavo records the expense and its category. It does not decide whether a cost should be treated as capital, revenue, deductible or otherwise.

Review unmatched and uncategorised entries

  • Filter for unmatched incoming transactions.
  • Filter for uncategorised expenses.
  • Review partially allocated transactions.
  • Check portfolio-level expenses.
  • Review transactions without a property connection.
  • Check missing supplier or payer details.
  • Compare uncertain entries with bank records and invoices.
  • Leave the entry unresolved where its correct treatment cannot yet be confirmed.
Do not guess an expense category

Incorrect categorisation can make the report appear complete while placing the amount in the wrong section.

Check invoices, receipts and other records

  • Confirm expense invoices are attached.
  • Check receipts are readable and complete.
  • Review supplier credit notes.
  • Check contractor invoices against maintenance records.
  • Retain insurance and professional-service documents.
  • Review transaction references against bank records.
  • Check ownership and mortgage information separately where relevant.
  • Keep files securely and restrict unnecessary access.

The exported report can be supplied alongside invoices, receipts, bank records and other supporting information to an accountant or tax adviser.

Estavo does not submit the tax return

The report organises recorded information. Formal calculations, adjustments, declarations and filing remain the user’s or appointed professional’s responsibility.

Correct an inaccurate tax report

Identify the incorrect figure

Determine which income, expense, property or period is affected.

Open the source record

Review the underlying transaction, expense, allocation or property connection.

Correct the Estavo information

Update the amount, date, category or connection where genuinely inaccurate.

Preview the report again

Confirm the correction appears in the relevant section and total.

Generate a revised export

Create a new report after the underlying records have been corrected.

Do not edit the exported report manually

Correct the source records in Estavo and regenerate the report so the system history and exported totals remain consistent.

Common tax-report problems

A property is missing

Check the property filters, ownership dates and archived-property settings.

Rental income is too low

Review unmatched payments, property connections and transaction dates.

An expense appears twice

Check for imported, manual and maintenance-generated versions of the same expense.

An expense is in the wrong category

Correct the underlying category and generate a new report.

Uncategorised entries remain

Review each transaction against source documents before assigning its property and category.

The report period is incorrect

Check the selected start and end dates and regenerate the report.

A refund has not reduced expenses

Confirm the refund or credit is recorded, dated and linked appropriately.

The export does not reflect a correction

Refresh the report preview and create a new export after saving the source-record change.
