Generate a property statement
Select a property and reporting period, review recorded income, expenses and balances, and generate a statement based on the financial information held in Estavo.
A property statement summarises the financial records connected to one property during a selected period. The statement is based on recorded transactions and does not independently verify the completeness of bank, accounting or tax records.
How property statements work
Estavo gathers income, expenses and relevant balances connected to the selected property and period. The statement can then be reviewed and generated in the available format.
Missing, duplicated, unmatched or incorrectly dated transactions can change the displayed totals.
Before generating the statement
- Confirm the required property.
- Select the correct reporting period.
- Review rent payments recorded during the period.
- Review property expenses and categories.
- Check imported transactions.
- Resolve duplicate entries.
- Review unmatched and partially matched transactions.
- Confirm refunds and reversals.
- Check maintenance costs against property expenses.
- Compare the transaction totals with source records.
Generating a statement does not correct unmatched, duplicate or incorrectly categorised records.
Open the property statements area
Open Financials
Select Financials from the main Estavo navigation.
Open Statements
Select the property-statement or reporting area.
Select Generate Statement
Open the statement configuration form.
Review previously generated statements
Check whether a statement already exists for the same property and period.
Select the property
It may include financial activity from more than one tenancy where those tenancies fall within the selected period.
Choose the reporting period
Calendar month
Review income and expenses recorded within one calendar month.
Quarter
Review a three-month reporting period.
Tax or financial year
Select the relevant annual period used by your reporting process.
Custom period
Choose a specific start and end date for the statement.
- Confirm the statement start date.
- Confirm the statement end date.
- Check whether both boundary dates are included.
- Review transactions entered near the period boundaries.
- Confirm whether the property was owned for the full period.
- Check whether a tenancy began or ended during the period.
Review the opening balance
The opening balance represents the property’s recorded financial position at the start of the statement period.
- Review the previous statement closing balance.
- Check transactions dated before the selected period.
- Review outstanding tenant balances brought forward.
- Check unallocated credits and overpayments.
- Confirm refunds and reversals from earlier periods.
- Review whether a manual opening balance was entered.
A manual balance can duplicate earlier transactions if the historical financial activity is already in Estavo.
Review the recorded property income
- Check for duplicate rent payments.
- Review unmatched incoming transactions.
- Confirm payments are linked to the correct property.
- Check payment reversals and returned funds.
- Review whether deposits have been incorrectly recorded as rental income.
Review the recorded property expenses
- Check that each expense belongs to the selected property.
- Review the expense date and reporting period.
- Check for duplicate imported and manual expenses.
- Review maintenance-generated expenses.
- Check supplier credits and refunds.
- Confirm supporting invoices or receipts are attached.
Check unmatched and uncategorised transactions
Unmatched transactions may be excluded from property totals or appear without sufficient context, depending on how the record is configured.
Unmatched income
Identify whether incoming transactions belong to rent, another property or another income type.
Uncategorised expenses
Assign the correct property and expense category.
Partially allocated transactions
Review any remaining unallocated balance.
Portfolio-level transactions
Confirm whether the transaction should remain at portfolio level or be allocated to the property.
Resolve the property and category only when the supporting information is sufficient.

- Confirm the closing balance.
- Check that no unrelated property transactions appear.

Create the statement using the current financial information.
Open the generated statement
Review the final rendered version before using it.
Download the available format
Save the statement as PDF, CSV or another supported format.
Retain the statement record
Keep the generated version available with its property and period information.
Later transaction corrections may not change a previously downloaded copy. Generate a revised statement after making corrections.
Share a property statement
- Confirm the recipient is authorised to receive it.
- Review the property and reporting period.
- Check whether the statement contains tenant or supplier information.
- Remove unnecessary internal notes.
- Use the appropriate secure sharing method.
- Record when and with whom it was shared.
- Avoid sharing unrelated property information.
Property statements may contain transaction references, tenant names, supplier details and other financial information. Share only with appropriate recipients.
Correct an inaccurate property statement
Identify the incorrect figure
Review the affected transaction, balance or category.
Open the source financial record
Correct the underlying transaction, allocation or property connection.
Review related records
Check rent schedules, maintenance expenses, refunds and imported transactions.
Preview the statement again
Confirm the corrected transaction and balance appear properly.
Generate a revised statement
Create a new version after the financial records have been corrected.
Correct the underlying Estavo records and regenerate the statement so the system history and report remain consistent.
Common property-statement problems
A transaction is missing
Check the property connection, transaction date, reporting period and matching status.
A transaction appears twice
Check for manual, imported and maintenance-generated versions of the same financial entry.
The opening balance is incorrect
Review transactions before the statement start date and the previous period’s closing position.
The closing balance is incorrect
Review income, expenses, refunds, credits and unmatched entries within the period.
An expense is in the wrong category
Correct the underlying expense category and regenerate the statement.
Rent appears in the wrong month
Check whether the statement uses the transaction date and review the payment’s actual received date.
The downloaded file will not open
Generate the statement again and confirm the download completed successfully.
A corrected transaction is not reflected
Refresh the preview and generate a new statement after saving the correction.
