Add your first property

Create your first property record and add the address, ownership information and key details used throughout Estavo.

A property record is the starting point for most activity in Estavo. Tenancies, tenants, compliance, maintenance, documents, financial records and communication can all be connected to the relevant property.

Before you add the property

You do not need every piece of information immediately, but having the main property details available will make setup quicker.

Full property address

Have the house or flat number, street, town and postcode available.

Property information

Know the property type, number of bedrooms and general property status.

Ownership details

Confirm whether the property is personally owned, jointly owned or held through a company.

You can complete the property gradually

Add the main property record first, then return later to add documents, compliance, maintenance, financial and tenancy information.

Create the property record

Follow these steps from the Estavo landlord dashboard.

Open Properties

Use the main navigation to open the Properties section. This page displays the property records already connected to your account.

Select Add Property

Choose the button used to create a new property record.

A property form or guided setup process will open.

Enter the property address

Start with the postcode or address search where available. Select the correct address from the results.

Check the selected address carefully before continuing.

Complete the key property details

Add the property type, bedroom count, ownership information and other fields relevant to the property.

Save the property

Review the entered information and select Save or Create Property.

Estavo will then open the property record or return you to the property list.

Enter the address accurately

The property address is used throughout Estavo and may appear on tenancy records, documents, compliance items and financial reports.

Address line 1 House number, building name and street.
Address line 2 Flat, apartment, district or additional location details.
Town or city The main town or city associated with the property.
County Add the county where required.
Postcode Enter the complete UK postcode.
Country Confirm the country where the property is located.
Check flats and converted properties carefully

Make sure the flat or unit number is included. Otherwise, the property may be confused with another unit at the same building.

Add the property details

Complete the available fields that describe the property and how it is used.

Property type For example, house, flat, bungalow, maisonette or HMO.
Bedrooms Record the number of bedrooms in the property.
Bathrooms Record the number of bathrooms where requested.
Furnished status Select furnished, part-furnished or unfurnished where applicable.
Property status Select whether the property is active, vacant, occupied or being prepared for letting.
Reference Add your own internal property reference where available.
Use the correct property status

The status may affect dashboard statistics and how the property appears in property lists and reports.

Record the ownership details

Ownership information helps distinguish properties held personally from those owned jointly or through a company.

Personal ownership

Use this where the property is held in your own name as an individual landlord.

Joint ownership

Record additional owners where the property is held by more than one person.

Company ownership

Add the business name and company information where a limited company owns the property.

Other ownership structure

Use the available notes or ownership fields where the property is held through another structure.

Add financial and mortgage information

Estavo may allow you to record property-related financial details. These fields can be completed now or added later.

  • Purchase price and purchase date.
  • Current or estimated property value.
  • Mortgage lender and account reference.
  • Outstanding mortgage balance.
  • Monthly mortgage payment.
  • Property ownership percentage where relevant.
Do not enter payment card or banking passwords

Property financial fields should only contain information relevant to managing the property. Never add online banking credentials, security codes or full payment card details.

What to do after saving

Once the property has been created, open the property record and begin completing its related sections.

Compliance

Add certificates, checks, renewal dates and supporting documents.

Documents

Upload property documents, certificates, invoices and other supporting records.

Tenants and tenancies

Add the tenant records and create the tenancy linked to this property.

Maintenance

Record ongoing issues, work completed and property repair history.

Common property setup problems

The address cannot be found

Check the postcode and try searching again. Use manual address entry where that option is available.

The property already exists

Review the property list before creating another record. Search by postcode, street or property reference.

The Save button is unavailable

Check for missing mandatory fields or an address field that has not been selected correctly.

I selected the wrong address

Edit the property record immediately. Contact support if the address is locked after related records have been added.

The property is missing from the dashboard

Refresh the page and check that the property status is active rather than archived or inactive.

I do not have all the information

Complete the mandatory fields first. Optional ownership, mortgage and financial details can normally be added later.

Your first property is ready

The property can now be connected to tenants, tenancies, compliance, documents, maintenance and financial records. The next step is to add and invite your first tenant.
