Create a rent and financial report

Review recorded rent, income, expenses, arrears and property-level financial activity, apply date and category filters and export the resulting information where supported.

Financial reports use the rent schedules, transactions, income, expenses and arrears information recorded in your Estavo account. The results are organisational and depend on complete, correctly dated and correctly categorised source records.

What a rent and financial report can contain

Scheduled rent Rent expected according to the recorded tenancy and rent schedule.
Received income Transactions recorded as rent or other property income.
Expenses Maintenance, management, insurance, utilities and other recorded property expenses.
Arrears Recorded differences between expected rent and matched or received amounts.
Transaction details Transaction date, amount, type, category, property, tenancy and narrative.
Property performance Property-level summaries based on the recorded income and expense information.
Recorded figures are not independently audited

Estavo organises the financial information entered into the account. It does not independently verify bank activity, tax treatment, accounting accuracy or financial performance.

Before creating the financial report

  • Confirm the reporting purpose and period.
  • Review the properties to include.
  • Check rent schedules are up to date.
  • Review recent transaction imports or manual entries.
  • Check unmatched transactions.
  • Review income and expense categories.
  • Check duplicate entries.
  • Review arrears and adjustments.
  • Confirm the correct account user has financial access.
  • Decide whether the report will be exported.

Confirm whether the report initially shows the current month, financial year or another period.

All properties

Review recorded income and expenses across the full portfolio.

Selected properties

Choose one or more properties for a focused financial review.

Current portfolio

Include active properties and current tenancy activity.

Historical properties

Include archived properties where historical transactions remain relevant.

Apply the correct financial date range

  • Select the report start date.
  • Select the report end date.
  • Check whether the report uses transaction dates or rent due dates.
  • Review transactions posted after the period but related to earlier rent.
  • Use a wider period when expected entries are missing.
  • Check the selected financial or tax year where available.
  • Confirm boundary dates are included as expected.
Transaction date and rent period can differ

A payment recorded in one month may relate to rent due in another period. Review both the transaction and rent schedule where relevant.

Filter the report by transaction type

  • Select income transactions only.
  • Select expense transactions only.
  • Include adjustments or transfers where relevant.
  • Review unmatched or uncategorised transactions separately.
  • Use all transaction types for a complete account review.
  • Remove the type filter when investigating a missing item.

Review rent and other recorded income

Rent received

Review transactions categorised as rent for the selected properties and period.

Deposits or adjustments

Review separately where these are recorded and included by the report.

Other property income

Review fees or other income categories recorded against a property.

Unmatched income

Identify receipts not connected to the correct tenancy or property.

Review recorded property expenses

  • Review maintenance and repair costs.
  • Check insurance, utilities and service charges.
  • Review management or professional fees.
  • Check expenses without a property connection.
  • Review uncategorised expenses.
  • Check duplicate invoices or transactions.
  • Confirm the transaction date and amount.

Review recorded arrears

  • Review expected rent for the selected period.
  • Check rent transactions matched to the tenancy.
  • Review partial payments.
  • Check credits, adjustments or write-offs.
  • Review the tenant and property connection.
  • Check whether the rent schedule is accurate.
  • Investigate unmatched payments before treating rent as unpaid.
Recorded arrears require review

Confirm the rent schedule, transaction matching, adjustments and payment history before contacting a tenant or taking further action.

Filter by income or expense category

  • Select one category for a focused review.
  • Select several categories for a broader report.
  • Review uncategorised transactions separately.
  • Check inconsistent category names.
  • Remove the category filter when investigating a missing transaction.
  • Correct the source transaction rather than only changing the export.

Review each transaction in the report

  • Confirm the transaction date.
  • Review the amount.
  • Check whether it is income, expense or adjustment.
  • Review the category.
  • Confirm the property and tenancy connection.
  • Check the narrative or reference.
  • Review matching against the rent schedule.
  • Look for duplicates.
  • Open any source record requiring correction.

Compare transactions with the rent schedule

Rent due

Review the amount and due date generated from the tenancy record.

Rent received

Check transactions matched to the relevant rent period.

Partial payment

Review the unpaid balance and any later matching activity.

Overpayment or credit

Review how additional amounts are recorded and allocated.

Review unmatched or uncategorised transactions

  • Check the date and amount.
  • Review the payment reference or narrative.
  • Search for the likely tenant or property.
  • Check whether the transaction duplicates another entry.
  • Assign the appropriate property and category where confirmed.
  • Match the transaction to the correct rent period where appropriate.
  • Leave the item unmatched rather than guessing.

Review missing or unexpected financial information

A transaction is missing

Widen the date range, remove filters and review imported and manual records.

The property is blank

Check whether the transaction has been connected to the correct property.

The category is missing

Open the transaction and apply the confirmed income or expense category.

Rent appears unpaid incorrectly

Review unmatched transactions, payment dates and rent-schedule matching.

An expense appears twice

Check manual entries, imported transactions and maintenance records.

The total is lower than expected

Review excluded properties, categories and transactions outside the selected period.

Do not add duplicate transactions to correct a report

Search existing imported and manually entered transactions before creating another financial record.

Update an incorrect financial record

Open the transaction or rent record

Select the relevant source record from the report where linking is supported.

Review the source information

Check the date, amount, type, category, property, tenancy and matching.

Save the correction

Confirm the updated record saves successfully.

Generate the report again

Use the same period and filters to verify the corrected result.

Export the financial report

  • Review the visible report first.
  • Confirm the reporting period.
  • Review the property and category filters.
  • Check the displayed totals.
  • Select Export or Download where supported.
  • Choose the available format.
  • Open the exported file.
  • Confirm its rows and totals match the displayed report.
  • Store the file securely.
Financial reports can contain sensitive information

Store and share exported reports according to your own financial-access and data-protection procedures.

Common financial-report problems

No transactions appear

Remove filters, widen the period and confirm transactions exist in the account.

Rent income is missing

Review unmatched transactions, categories and tenancy connections.

The arrears total looks too high

Check rent matching, partial payments, credits and duplicate rent schedules.

An expense is missing

Review the transaction date, category and property connection.

The total is duplicated

Check imported and manually entered transactions and repeated entries.

A transaction has no property

Open the record and connect it only after confirming the correct property.

The report will not generate

Refresh the page, reduce the reporting period and review financial permissions.

The export differs from the report

Confirm the same dates, filters and newly generated report were used.

The rent and financial report has been created
