Identify why a property, tenancy, compliance item, maintenance record or financial transaction is missing from a report, correct the underlying source data and generate the report again.
Missing report data is usually caused by filters, dates, record status, incomplete fields or an incorrect connection between records. Review the report settings and source data before creating a replacement record.
Why report data may be missing or incomplete
Search the active, historical and archived records before concluding that the source information no longer exists.
Before investigating the missing data
- Record the report type.
- Note the selected properties.
- Record the date range.
- Review all active filters.
- Note whether archived records are included.
- Identify the expected source record.
- Record the property, tenant or tenancy connection.
- Capture any warning or missing-data message.
- Do not create a duplicate record.

Check every active report filter
- Remove the property filter.
- Clear tenant or tenancy filters.
- Remove status filters.
- Remove category filters.
- Include incomplete records where supported.
- Include archived or historical records.
- Generate the broadest available report.
- Reapply filters one at a time after locating the record.
A record may match the property and date range but fail to match the selected status or category.
Check the report date range
- Widen the start date.
- Extend the report end date.
- Confirm which date field the report uses.
- Review missing dates on the source record.
- Check tenancy overlap rather than only start dates.
- Review transaction date versus rent due date.
- Check reported versus completed maintenance dates.
- Review issue and expiry dates for compliance items.
Check status and archive settings
- Include active records.
- Include inactive or ended records.
- Include completed records.
- Include archived records.
- Review cancelled or replaced records.
- Check whether the source status is blank.
- Confirm the status was saved correctly.
- Remove status filters when investigating.

Confirm the correct tenant is attached to the tenancy record.

Check whether transactions and tenant records are connected to the correct tenancy.
Document connection
Confirm the file is linked to the compliance or maintenance item rather than only stored in Documents.

- Search for duplicate or similarly named properties.
- Save missing source fields before regenerating.

- Review rent amount and frequency.
- Include historical or archived tenancies.
- Check for overlapping or duplicate tenancy records.
Review missing compliance-report data
- Check the compliance category.
- Review the connected property.

- Confirm the current or archived status.
- Check whether a replacement record exists.

- Compare dates, references and amounts.
- Do not delete a record until the correct version is confirmed.

Open the source record
Navigate to the relevant property, tenancy, compliance item, maintenance issue or transaction.
Review the incomplete fields
Check dates, status, category, amount and record connections.
Update only confirmed information
Do not guess dates, categories, amounts or property connections.
Save the record
Confirm the update completes successfully.
Generate the report again

Review the corrected result
Confirm the record, totals and status are now correct.

- The report date range.
- The active filters.
- The expected property, tenant or record.
- The source record reference where available.
- A description of the missing or incomplete data.
- A screenshot that does not expose unnecessary sensitive information.
- The time the report was generated.
Do not send passwords, authentication codes, full payment-card information or unnecessary tenant documents in a support request.

A record exists but does not appear
Reset filters, widen the date range and review the record status.
A property is missing from every report
Check the account connection, property status and archive setting.
A tenancy appears without a tenant
Review the tenant connection on the tenancy record.
A compliance item has no expiry status
Check whether the expiry date is present and valid.
A completed repair appears open

Rent appears unpaid incorrectly
