Reports overview

Understand how Estavo reports are generated from your account records, which report types are available and how filters, dates, permissions and source-data quality affect the results.

Estavo reports organise information already recorded in your account. Reports do not create missing property, tenancy, compliance, maintenance or financial data, and they do not independently verify whether the source records are correct.

How Estavo reports work

Estavo reads your account records

The report uses properties, tenants, tenancies, transactions, compliance items, maintenance records and other information stored in your account.

You select the report scope

Choose the report type, date range, property, status and other available criteria.

Estavo displays matching records

Records that meet the selected report rules and filters appear in the result.

You review and export the result

Check the report for missing, duplicated or unexpected data before using or downloading it.

Correct the source record, not only the export

Where report information is wrong, update the relevant property, tenancy, transaction, compliance or maintenance record so future reports use the corrected data.

Understand which records supply report data

Property records Addresses, status, ownership information, property type and other recorded details.
Tenant records Tenant names, contact information and connected tenancy records.
Tenancy records Start and end dates, rent details, status and property connections.
Compliance records Compliance item type, issue date, expiry date, status and connected documents.
Maintenance records Issue type, priority, status, dates, contractors and recorded costs.
Financial records Rent schedules, transactions, income, expenses, adjustments and arrears information.

Before creating a report

  • Confirm the report type matches your purpose.
  • Review the required date range.
  • Check which properties should be included.
  • Review current and historical record statuses.
  • Confirm transactions and rent records are up to date.
  • Review missing compliance dates.
  • Check maintenance records for incomplete statuses.
  • Confirm your account has permission to view the data.
  • Decide whether the report needs to be exported.

Sign in to Estavo

Open your landlord account using your normal sign-in method.

Select Reports

Open Reports from the main account navigation.

Review the available report categories

Select property, tenancy, compliance, maintenance or financial reporting.

Select the correct report type

Portfolio overview

Use a property report to review properties and recorded status across the account.

Tenant and tenancy review

Use a tenancy report to review active, upcoming or historical tenancy records.

Expiry and renewal review

Use a compliance report to review upcoming expiries, missing items and recorded renewals.

Operational and financial review

Use maintenance or financial reports for work activity, rent, income, expenses and arrears.

Review the report date range

  • Confirm the start date.
  • Review the end date.
  • Check whether the report uses transaction, tenancy, expiry or completion dates.
  • Review whether historical records should be included.
  • Check whether future compliance dates are required.
  • Confirm the selected period matches the intended review.
  • Use a wider period where expected records are missing.
Different reports can use different dates

A financial report may use transaction dates, while a compliance report may use expiry dates and a maintenance report may use reported or completed dates.

Apply report filters

Property Include one property, selected properties or the full account portfolio.
Status Filter active, historical, open, completed, overdue or other available statuses.
Tenant or tenancy Narrow results to a selected person or tenancy record.
Category Select compliance, maintenance, income, expense or other report categories.
Date range Restrict results to the intended reporting period.
Record condition Show missing, expiring, overdue or incomplete records where supported.
Start broadly when investigating missing records

Remove unnecessary filters and use a wider date range before concluding that a record is absent from the report.

  • Check the reporting period.

  • Check the number of included records.
  • Review totals and statuses.

Review missing or unexpected report data

  • Remove restrictive filters.
  • Widen the date range.
  • Check whether the source record is active or archived.
  • Review whether the correct date field is populated.
  • Check property and tenancy connections.
  • Review missing transaction or compliance fields.
  • Confirm the record was saved successfully.
  • Regenerate the report after correcting the source record.
Do not add a duplicate record to fix a report

Find and correct the existing property, tenancy, transaction, compliance or maintenance record before creating another one.

Understand report permissions

Report visibility

Users may only see reports available to their account role and permissions.

Financial information

Financial reports may require additional access because they contain rent, income and expense data.

Personal information

Tenant reports can contain personal information and should be accessed only where required.

Export permissions

Viewing a report may not automatically permit a user to export or download it.

Export a report where supported

Review the report first

Confirm the date range, filters and visible results.

Choose the available export action.

Select the supported format

Choose the format displayed by the report, such as CSV or another available option.

Store the file securely

Review where the downloaded report is saved and who can access it.

Exports can contain personal or financial data

Store, share and delete downloaded reports according to your own access-control and data-protection procedures.

Use report information carefully

  • Review the report against source records.
  • Confirm the date range and filters remain visible.
  • Check whether the report includes archived records.
  • Review missing or incomplete values.
  • Do not assume an empty result proves no relevant record exists.
  • Do not treat totals as independently audited.
  • Use professional advice where the report affects legal, compliance, accounting or tax decisions.

They do not independently verify your records and do not replace legal, compliance, accounting, tax, financial or valuation advice.

Common reporting problems

The Reports area is unavailable

Check your account permissions and whether reporting is available to your account.

The report returns no records

Remove filters, widen the date range and review the source records.

A property is missing

Check its status, account connection and whether a property filter excludes it.

A tenancy is missing

Review tenancy dates, status, property connection and historical-record filters.

Financial totals look incorrect

Review transactions, dates, categories, duplicates and the selected reporting period.

Compliance dates are missing

Open the source compliance record and confirm issue and expiry dates are saved.

The export button is unavailable

Check your permissions and whether export is supported for the selected report.

The exported file differs from the screen

Confirm the same filters, date range and report generation time were used.
