Create a property report
Review your property portfolio, apply status, occupancy and property filters, identify incomplete records and export the resulting property information where supported.
A property report uses the property records stored in your Estavo account. The report can help you review portfolio size, occupancy, property status and incomplete property information, but it depends on the accuracy of the original records.
What a property report can contain
Estavo does not independently confirm property ownership, occupancy or address accuracy.
Before creating a property report
- Confirm the intended portfolio or property scope.
- Review whether inactive properties should be included.
- Decide whether archived records are required.
- Check recent property additions.
- Review property addresses and postcodes.
- Check current tenancy connections.
- Review occupancy and property status.
- Confirm your account can access the relevant properties.
- Decide whether the report will be exported.
Open the property-report area
Open Reports
Select Reports from the main Estavo navigation.
Select Property Reports
Open the property or portfolio reporting area.
Review the default scope
Check whether all active properties are selected automatically.
Select which properties to include
All properties
Use this for a complete portfolio-level review, subject to the selected statuses and filters.
Selected properties
Choose one or more specific properties for a focused report.
Active portfolio
Include properties currently managed or available for normal account workflows.
Historical portfolio
Include inactive or archived properties where the report purpose requires them.
Filter the report by property status
- Select active properties for the current portfolio.
- Include inactive properties where still relevant.
- Include archived properties for historical reporting.
- Review properties with incomplete status information.
- Remove the status filter when investigating a missing property.
- Check whether the status was saved correctly on the source record.
Filter by occupied or vacant property
Occupied
Include properties with a current tenancy connected to the reporting date or current record.
Vacant
Include properties without a current tenancy or recorded as vacant.
Upcoming tenancy
Review properties with a future tenancy where that status is supported.
Unclear occupancy
Review properties with overlapping, missing or incomplete tenancy records.
A property can appear vacant when the current tenancy is missing, incorrectly dated or not connected to the property.
Filter by property type
- Select one or more recorded property types.
- Review houses, flats, apartments or HMOs separately.
- Check properties where the type is missing.
- Confirm similar categories are not used inconsistently.
- Remove the type filter where expected properties are absent.
- Correct the source property record before regenerating.
Include archived properties where required
Archived properties may be excluded from the default report. Include them when reviewing historical ownership, tenancy, compliance, maintenance or financial information.
- Enable the archived-properties option where available.
- Review whether inactive records are included separately.
- Check the property archive date.
- Confirm the archived record belongs to the current account.
- Avoid creating a duplicate property because an archived record was hidden.
Generate the property report
Confirm the report type
Check that Property Report is selected.
Select the portfolio scope
Choose all properties or the required records.
Apply filters
Set property status, occupancy, type and archive options.
Select Generate Report
Wait for the matching property records to load.
Review the report summary

- Check the total number of properties.
- Review occupied and vacant counts.
- Confirm active and archived totals.
- Review incomplete-record indicators.
- Compare the total with the expected portfolio size.
Review each property in the report
- Check the complete address.
- Review the postcode.
- Confirm the property status.
- Review occupancy.
- Check the connected tenancy.
- Review property type.
- Look for duplicate addresses.
- Open any property requiring correction.
Review missing or unexpected property data
A property is missing
Remove filters, include archived records and check the source property status.
Occupancy is wrong
Review the current tenancy dates and property connection.
The address is incomplete
Open the property record and update the missing address fields.
A duplicate appears
Review whether two property records exist for the same address.
Search active and archived records before adding a replacement property.
Update an incorrect property record
Open the property from the report
Select the relevant property where linking is supported.
Review the source information
Check the address, status, property type and connected tenancy.
Save the corrections
Confirm the property record updates successfully.
Generate the report again
Use the same scope and filters to verify the correction.
Export the property report
- Review the visible report first.
- Confirm all filters.
- Check the number of included properties.
- Select Export or Download where available.
- Choose the supported format.
- Open the downloaded file.
- Check that the exported rows match the screen.
- Store the report securely.
Store and share property reports according to your own access-control and data-protection procedures.
Common property-report problems
No properties appear
Remove filters and confirm the account contains active property records.
An archived property is missing
Enable archived records and review the property archive status.
A property appears vacant incorrectly
Check the current tenancy dates and property connection.
The property type is blank
Update the source property record and regenerate the report.
The portfolio total is too high
Review duplicate, inactive and archived property records.
The portfolio total is too low
Remove filters and review properties stored under a different status.
The report will not generate
Refresh the page, reduce the scope and review your report permissions.
The export differs from the screen
Confirm the same filters and newly generated report were used.
The property report has been created
